When

Use this card to show in an air booking file something that was arranged outside Galileo — a tour, a transfer, a cruise leg — or to keep a dated line in a file that has no flights left.

Steps

#EntryWhat it doesWhy
10TURZZBK1VIE26NOV-CF-55881234A passive tour segment in Vienna on 26 November, with the supplier's confirmation number. The trip is complete in one file; CF- is optional.
20SURZZAK1VIE26NOV-TRANSFER AIRPORT TO HOTELA passive surface segment with free text.Transfers, trains or ferries booked elsewhere.
3RT.T/30NOV*KEEP FOR INVOICEA retention line on 30 November with a note.Keeps a dated line in a file whose flights are gone.
4*INShows only the non-air segments.Check them apart from the flights.
5XNCancels all non-air segments.Clean up without touching the flights.
6LD/ALL/AUX/01NOV*30NOV-DLists files with auxiliary segments in November.Find all files with a tour or transfer that month.

In these entries ZZ fills the supplier (vendor) position and 1 is the number of people. Segment numbers run together with the flights, so a single auxiliary segment is cancelled like any other: X + its number.

Check it worked

*IN shows the tour or surface segment with its date and text; *I shows it in the itinerary together with the flights.

Traps

  • Passive means nothing is booked. These lines only record what you arranged elsewhere. The real booking and its payment are with the supplier.
  • An auxiliary segment can take the place of a retention line and carry real information at the same time.
  • When all flights are cancelled, the name list date of the file becomes the retention date if a retention line is left (Retrieve a booking file (PNR) by locator, name or flight).
  • Some offices add the retention line automatically with a Smartpoint tool; check before typing one by hand.
  • *IX shows air taxi segments only; for tours and surface segments use *IN.
  • Hotel and car segments have their own entries and are not covered in this guide.
