When
Use this card when the client has already travelled and you need the booking file again — a billing question, a complaint, proof of what was booked — and the normal retrieve no longer finds it.
Check first
- The rules of the archive: a booking file becomes past date 24 hours after its last travel date. It can be requested up to 13 months after the last segment date.
- Have the record locator, or the departure date and the surname.
Steps
| # | Entry | What it does | Why |
|---|---|---|---|
| 1 | PQ/R-K7P2QX | Requests the past date file by record locator. | The surest way. |
| 2 | PQ/14SEP26-NOVAK | By departure date and surname. | When you have no locator. |
| 3 | PQ/01SEP26-30SEP26-NOVAK | By a date range and surname. | You know the month, not the day. |
| 4 | PQ/JU211/14SEP26BEG-NOVAK/ANA | By flight, date, board point and name. | Narrows a common name. |
| 5 | PQ/B/14SEP26-NOVAK | By date and name across all branch offices. | The booking was made in another branch. |
| 6 | PQ/*L | Shows the list of matching names again. | Choose the right file. |
| 7 | Q/1*CPD | Opens queue 1, category PD, where requested files arrive. | The file is delivered there, not straight to your screen. |
| 8 | PQ/C | Counts your requests this month and last month. | Keep an eye on how many you use. |
Check it worked
The requested file appears on queue 1, category PD. Files up to 60 days old arrive at once; older ones (up to 13 months) take up to 24 hours.
Traps
- Files leave the queue again after 7 days. Work them, or note what you need, within the week.
- For a purged booking file you must confirm the request is for a billing dispute. Do not use it for other purposes.
- A date range can cover at most 31 days.
- Ticket records (issue, refund, exchange) are found with document history, which keeps them after the airline has purged the ticket (Document history — everything that happened to a ticket (*DH)).
- Before the 24 hours have passed, use the normal retrieve (Retrieve a booking file (PNR) by locator, name or flight).
