When
Use this card to send the client the itinerary from a Galileo booking file by email — after booking, after a change, or with the e-ticket receipts after issue.
Check first
- The client's address is in the email field (
MT., check with*EM). The first address is the default (Email addresses in the booking file). - A received field is in, unless autoreceive is on (Received from field and autoreceive).
Steps
| # | Entry | What it does | Why |
|---|---|---|---|
| 1 | *EM | Shows the email addresses with their numbers. | Pick who gets it. |
| 2 | EM | Sends the itinerary to the first address. | The usual send. |
| 3 | EMALL · EM2 · EM1.3 | Sends to every address · address 2 · addresses 1 and 3. | Several recipients, for example traveller and booker. |
| 4 | ERM | Ends the transaction, shows the file and sends to the first address. | Save and send in one step after a change. |
| 5 | ERMALL | Ends, shows and sends to all addresses. | Everybody gets the new version. |
| 6 | ERMALL*ETR | Same, with all e-ticket receipts attached. | After ticketing: itinerary and receipts in one mail. |
| 7 | ERM*LANG-PT | Sends the itinerary in Portuguese; other languages by their code. | A client who prefers another language. |
| 8 | NP.VTEMATTACH:IT | Notepad line: attach itinerary and e-ticket as PDF to every email sent. | :I itinerary only, :ITE adds an expense report. |
| 9 | NP.VIEWTRIPNET · NP.VIEWTRIPITIN | Hide fares · hide fares, payment and endorsements in the client's ViewTrip view. | Corporate travellers who should not see prices. |
In Smartpoint, #VT opens the booking in ViewTrip, the web page the client sees, so you can check it first. ELM sends and goes back to a name list (native screen only).
Check it worked
The send entry answers without an error; the email reaches the client with the flights, the itinerary remarks (RI.) and, if asked, the PDFs. Send one to yourself the first time.
Traps
- The client reads the itinerary remarks. Check
*RIbefore sending (Remarks — which kind goes where (itinerary, notepad, accounting)). - Without autoreceive, a send without
R.is refused. EMsends only to the first address. If the booker is first and the traveller second, the traveller gets nothing.- The "from" address (
MF.) is what the client answers to; set it to your agency mailbox (Email addresses in the booking file). - A comment line per address (
MC.1@…) adds a personal note to that email.
