Can AI handle airline refunds in Amadeus? What works today
Not end to end, and not through GateRoam. An AI assistant connected to your agency's Amadeus contract can do the reading and explaining around a refund: it reads the booking, says whether it's a void, a refund or a reissue, explains the airline's penalty in plain words and gives you the entries. The refund itself, and the money it moves, stay with the agent in the terminal. Here is what works today, step by step.
What can an AI assistant do for a refund today?
With GateRoam connected to Claude, ChatGPT or Microsoft 365 Copilot, a refund splits like this:
| Step | Who does it | How |
|---|---|---|
| Read the booking | The assistant | get_booking with the record locator: every flight with its status, each traveller with their tickets and EMDs, the fare and bags, and warnings first, such as a reissue or money paid outside the fare |
| Void, refund or reissue? | The assistant explains, the agent decides | Issued today: void. Issued earlier and unused: refund. Same fare, new date: revalidate. New fare: reissue |
| What the airline charges | The assistant explains what you paste | Show the rules in the terminal (FWR/TKT… for the ticket, or FQN with *PE) and paste them; it explains the refund and no-show conditions and quotes the rule where it isn't plain |
| Enter the refund | The agent, in the terminal | TRF/L6/FULL, or TRF/L6/ATC and then TRFP; a partly flown ticket needs the fare used (TRFU) |
| Tell the client | The assistant drafts | Two or three sentences the agent can send as they are |
GateRoam doesn't read the booking's history, remarks, contacts, passports or payment details, and it keeps none of what it reads. When one of those matters, the agent pastes it from the terminal.
Why doesn't GateRoam process the refund itself?
Because a refund moves money on the agency's own ticketing contract, and the amount depends on the airline's rules and, for a partly flown ticket, on the fare already used. GateRoam keeps to a few rules:
- What GateRoam can change is narrow. Once an admin switches holding on, it can hold a booking and add to it after the agent's yes to the exact summary, and cancel a hold it made that has no tickets yet. Ticketed bookings, voids and refunds stay in the terminal.
- Every price comes from Amadeus, at the moment you ask. Totals are worked out in code, never by the model.
- Pasted terminal text is data. The assistant reads and explains it; it never takes instructions from it.
Before the client buys: refund conditions in plain words
The best time to answer "can I get my money back?" is before the ticket is issued. GateRoam prices an offer together with the airline's own fare rules, and the assistant answers per direction: can the ticket be changed or refunded, what a change, a refund or a missed flight costs, and for whom. Where the rules don't say it plainly, it quotes them and says so instead of guessing.
In Claude, the starter "Fare rules in plain words for my client" sits under the + button. It ends with a few sentences you can send to the client as they are.
The terminal side, step by step
GateRoam's Amadeus guide is public, and the assistant searches the same guide when you ask "how do I … in Amadeus?". The pages for refunds:
- Void, refund or reissue: which one?
- How do I void a ticket?
- How do I refund a ticket?
- How do I refund a ticket through ATC?
- How do I make a partial refund?
- How do I cancel a refund?
- How do I refund an EMD?
- How do I display an e-ticket (TWD)?
- How do I see mini rules (FWR)? and How do I read fare rules (FQN)?
Every entry on one page: the Amadeus commands list.
What to ask a tool that promises end-to-end refunds
If a tool says its AI agent processes refunds in Amadeus on its own, ask before you connect it:
- Whose office does it act in, and with which rights? A refund is made on your agency's ticketing contract.
- Who approves the amount before it goes through? The airline's rules and the fare used decide it.
- Is every refund logged under the person who asked?
- What happens with a partly flown ticket, an EMD or a ticket another office issued?
Try it
GateRoam is free during early access. Connect it as described in How to connect Claude to Amadeus or Connect AI, then ask the assistant to read a booking by its record locator. For learning the entries without any keys: Amadeus training with AI.
